Sports Festival Organisation: Municipal, Public-Sector and Brand Sports Festivals
A municipal sports day, a youth and sports festival, a 19 May programme or a brand festival: we run the festival on the institution’s behalf under a single contract, from the site plan, set-up, staffing and safety through to strike.
A public sports festival is planned differently from an in-house company event: the number of participants is not known exactly in advance, visitors of all ages come and go throughout the day, the site is open to the public and permits sit with the institution and the relevant authorities. We divide the festival site into zones; set up the sports areas, children’s and obstacle areas, experience stations and the stage; run them with coaches, entertainers and a host; and plan crowd flow. The scope scales with participant numbers and the site, and an itemised quote arrives within 24 hours.

How do you organise a sports festival? Types, site, staffing and process
Short answer: Sports festival organisation means a municipality, public body or brand bringing several sports, children’s and obstacle areas, experience stations and a stage programme together at a public site for one or more days. A festival is prepared with a zone plan, a set-up and strike schedule, a team of coaches, entertainers and a host, and a crowd management plan. The scope is set by participant numbers and the site; specialist items such as the medical team are delivered with specialist teams and partners under a single contract.
This page is for festivals that an institution delivers to the public or to a wide audience: municipal sports days, youth and sports festivals, school and university sports days, 19 May and public holiday programmes, and brand and sponsor festivals. If you are planning a day only for your employees and their families, our company family day sports festival is the better starting point. How we work with public bodies is covered in full on our municipal and public-sector sports events page.
Which type of sports festival suits which audience?
| Festival type | Audience | Typical length | Typical stations |
|---|---|---|---|
| Municipal / community sports day | Local residents, families, all ages | One day or a weekend | 3x3 basketball, volleyball, archery, children’s course, family games, stage programme; a public fun run if wanted |
| Youth and sports festival / street sports festival | Secondary-school and university-age young people | One to three days | 3x3 street basketball, dodgeball, obstacle course, VR stations, an esports area, a music stage |
| School and university sports festival | Students, teachers, parents | Half a day or a full day | Inter-class or inter-faculty tournaments, relays, children’s course, archery, awards ceremony |
| 19 May and public holiday programmes | Families, young people, officials | Half a day or a full day | Sports areas that open after the ceremony, a public run or walk, demonstrations, a children’s area |
| Brand / sponsor sports festival | The brand’s audience, consumers | One day or a multi-city tour | Branded experience stations, VR stands, mini tournaments, a leaderboard, a product trial area |
| Staff and family festival | Employees of a public body or company and their families | Half a day or a full day | Family games, children’s area, tournaments, a picnic and rest area |
How is the festival site divided? The zone plan
The zone plan is the backbone of the festival: it sets where each area goes, where visitors enter and how they move around, and how they leave in an emergency. Details of the physical set-up (portable courts, surfaces, obstacle modules, tents, generators, barriers) are on our sports event area and course set-up page.
| Zone | What it includes | Who provides it / notes |
|---|---|---|
| Sports areas | Portable football, volleyball and basketball courts; nets, hoops, surfacing; mini-tournament fixtures | Set-up and running by us; surface and dimensions confirmed at the site survey |
| Children’s area | Children’s course by age group, supervised play, entertainment | By us; the area is fenced, with a single entry and exit and constant supervision |
| Obstacle area | Obstacle course, adventure course equipment, team course | By us; an easy alternative for every obstacle and safety distances are planned |
| Experience and VR stations | VR canoe, VR archery, real archery, simulators | By us, with operators; needs power, shade and a queuing area |
| Stage | Stage, sound and lighting, host, opening and awards ceremony, demonstrations | Stage and host by us; any concert or artist programme is coordinated with the institution’s own programme |
| Medical point | First-aid point, an ambulance where needed | With a specialist medical team and partners under a single contract, or the institution’s own team |
| Information and registration | Information desk, station sign-up, lost-child and meeting point | By us; pre-registration or on-site sign-up chosen per festival |
| Refreshments | Water points, food and drink area | Water point plan by us; food and drink stalls coordinated with the institution or licensed operators |
| Toilets and utilities | Portable toilets, power, water, waste | Coordinated: the site’s existing utilities or the institution’s suppliers are used; a generator is in our scope if needed |
Staffing: coaches, entertainers and a host
- Sports coaches: A coach at each sports area who explains the rules, leads the warm-up and keeps an eye on safety.
- Entertainers: A team that runs games in the children’s area and at family stations and keeps waiting children busy.
- Host: Stage running order, announcements, tournament results, the awards ceremony and, if needed, lost-child announcements.
- Zone leads and stewards: One lead per zone for station queues, equipment and visitor guidance.
- Site coordinator: The institution’s single point of contact, on site from set-up to strike.
- Volunteers: If the institution has volunteers or youth centres involved, we run their briefings and assign their roles.
Staff numbers are not taken from a fixed table; they are worked out from the number of stations, participant numbers and festival length, and shown as a separate line in the quote.
Safety and crowd flow
- Entry, exit and emergency corridor: Ambulance and emergency access is kept clear all day, and barriers are placed accordingly.
- One-way circulation and queuing areas: Busy stations get a queuing area in front, and no bottlenecks are left between zones.
- Safety distances: The area behind the archery line, the obstacles and the front of the stage are planned separately.
- Child safety: A fenced children’s area, name and contact wristbands and a lost-child procedure briefed to staff in advance.
- Heat and weather: Shaded areas, water points and a lighter programme in the hottest hours, with a separate plan for wind and rain.
- Security staff: The scope of private security is agreed with the institution; coordination with the police and relevant units sits with the institution, and we follow the process.
Timeline: from T-12 weeks to T+1

How do public bodies work with us?
- Public tender: We can bid in tenders the institution opens through EKAP, Türkiye’s electronic public procurement platform.
- Direct procurement: We can submit a quote where the institution buys through direct procurement (doğrudan temin).
- Sponsored model: If the festival is backed by a brand or sponsor, we can work directly with the sponsor or the institution; brand visibility is planned within the institution’s rules.
Which procurement route is used and which documents a bid requires depend on the institution’s own regulations and decisions. Permits and official approvals are the responsibility of the institution and the relevant authorities; we follow the process and help prepare the paperwork. For a step-by-step checklist, see our article on how to organise a municipal sports festival.

How the quote takes shape
The cost of a sports festival depends on the site, the length, the number of stations, participant numbers and the items the institution covers itself, which is why there are no prices on this page. The quote is settled in three steps.
Brief and site
We start with the festival type, date, site details, expected participant numbers and age profile, with a site survey where needed.
Zone plan and scope
The station list, zone layout, staffing, stage, utilities and safety lines are chosen, and the items the institution provides are separated out.
Itemised quote
The quote lists every line separately and arrives within 24 hours in TRY, USD or EUR, in a format that fits the institution’s procurement route.
What drives a festival budget
When comparing quotes, check that each of these lines is itemised. Instead of figures, we show what changes the cost and why; our quote lists the same lines one by one.
| Line | What it covers | Effect on the budget |
|---|---|---|
| Length and number of days | A half-day, full-day or multi-day festival. | Directly multiplies staffing, equipment hire and lines such as overnight security; on a multi-day festival the set-up is done once. |
| Site size and surface | A park, square, seafront, stadium surrounds or campus; grass, asphalt or sand. | The surface sets the need for portable courts and flooring; the site size sets the amount of barriers and signage. |
| Number of stations and sports | How many sports areas, experience or VR stations, children’s and obstacle areas. | Each station means equipment, set-up and at least one member of staff; the number of stations scales with participant numbers. |
| Participant numbers and flow | The number of visitors expected on site at once and their spread through the day. | Sets the queuing areas, water points and medical and security scope; the clearer the estimate, the more accurate the plan. |
| Stage, sound and lighting | Stage size, sound system, lighting for an evening programme, host. | A festival running into the evening adds lighting and a generator; any artist programme is planned separately. |
| Staffing | Coaches, entertainers, zone leads, site coordinator. | Rises with the number of stations and the length; the institution’s volunteers can take on some roles. |
| Infrastructure and logistics | Tents, gazebos, generators, barriers, transport, accommodation outside Istanbul. | Falls if the site’s existing utilities can be used; festivals in other cities add travel and accommodation. |
| Medical, security and branding | Medical point, ambulance, private security; banners, flags, wayfinding signs. | Items the institution covers with its own teams and suppliers are removed from the quote; branding varies with quantity and print type. |
Which lines the institution covers and which the organiser covers is settled at the scoping stage. Quotes can be issued in TRY, USD or EUR.
