Company Picnic Organisation and Sports Activities

We organise the company picnic from site selection to the award ceremony; if your own caterer handles the food, we plan the flow together with them.

The weakest moment of any company picnic is mid-afternoon: lunch is over, the children are bored, one group is at the barbecue and another is drifting towards the cars. A sports programme exists to fill exactly that gap — two or three hours where everyone joins something and nobody waits on the side.

How is a company picnic organised?

A company picnic is not a sports event and should not be treated as one. Some people come with children, some are older, some only want to talk to colleagues. A good picnic sports programme does not force a tournament on that crowd; it builds station-based games with free participation, short durations and team-based winners.

We run three layers in parallel: a tournament for those who want competition (five-a-side, volleyball or darts), 20–30 minute rotating stations for everyone (archery, tug of war, sack race, giant jenga) and parent-and-child games for families. All three run in the same area at the same time, so nobody has to miss anything.

For a multinational with a Turkish subsidiary, the picnic is often the one day a year the local team meets visiting colleagues informally. We brief in English and Turkish, keep the games rule-light and choose formats that do not favour people who grew up with a particular sport.

Choosing a site for a company picnic

Look at three things when choosing a site: travel time, a flat grass area (at least 20×40 m for a tournament) and an indoor alternative. We always visit the site before the event.

AreaBest forNote
Polonezköy (Istanbul, Asian side)Large groups, family daysWide grass areas; busy at weekends, book early
Around Belgrad Forest (Istanbul, European side)Medium groups, combined with a nature walkPlenty of shade; a flat area for the tournament is chosen in advance
Şile – AğvaFull-day or overnight programmesBy the sea and the river; plan the travel time
SapancaGroups that want to add canoeing or rowing on the lakeA day trip from Istanbul with coach transfer
Company campus or factory groundsShift-based teams, groups that prefer no travelLowest logistics load; we measure the area beforehand

We also set up picnics in other cities through our venue network; share a site plan and we can draft the layout straight away.

What company picnic organisation includes

01 Inclusion

Site survey and layout

The picnic ground is seen in advance; the tournament pitch, stations and children's area are placed away from the food zone but within sight of it.

02 Inclusion

Three parallel layers

Tournament + free stations + family games run at the same time. Nobody stands idle waiting for the tournament.

03 Inclusion

Department or mixed teams

Tug of war, sack race and darts collect team points; one champion department emerges at the end of the day.

04 Inclusion

Children and family stations

Parent-and-child relay, mini football, target shooting. A children's entertainer can be added as a separate service.

05 Inclusion

Equipment and setup

Goals, nets, targets, rope, scoreboard, sound system and shade; set up in the morning, cleared in the evening.

06 Inclusion

Referees and a moderator

A referee for the tournament, game leaders at the stations and one moderator announcing the flow.

07 Inclusion

Medical and weather plan

Medical staff on site, a heat protocol (water points, shade breaks), an indoor alternative for rain and a decision time.

08 Inclusion

Food and catering coordination

If your own caterer handles the food, we plan service times and the area around the programme; if you need a supplier, we can suggest options.

09 Inclusion

Awards ceremony

Cups, medals and photographs at the end of the day, with a ready image pack for internal communications.

Formats that work best at a picnic

If the ground offers flat grass and shade, most of the formats below can be set up. On sloped or wooded sites we lean on stations that need no pitch.

Frequently Asked Questions

Can a picnic ground handle sport?
Most can. Five-a-side or volleyball needs a flat grass area of at least 20 by 40 metres; without it, we replace the tournament with darts, archery and tug of war, which need no pitch. That is why we survey the site first — even a sketch from the venue is enough for a preliminary plan.
Are children included?
Yes, as a separate layer. Parent-and-child games run at the same time as the adult tournament in their own area. For under-sixes we recommend an entertainer, quoted as a separate line.
What headcount makes sense?
From 50 to 1000. At 50–150 one tournament plus four or five stations is enough. Above 300 the ground is split in two, stations multiply and two moderators run the programme. Family days for factories and production sites are the format we run most often at that scale.
How long does the sports part last?
The ideal is 2.5–3 hours after lunch. Longer breaks the conversational character of a picnic; shorter does not let the stations rotate. The tournament is sized to finish within that window in a group-plus-final format.
What if it rains?
A weather decision time is set 48 hours before the picnic. If rain is likely, an indoor alternative (the venue's hall or a marquee) and a matching programme (table tennis, darts, bowling) are kept ready. The decision criteria and cancellation terms are written into the contract.
Can visiting colleagues from abroad take part?
Easily — this is one of the most inclusive formats we run. Games are briefed in English, rules are minimal and the stations do not reward prior experience of any particular sport. If the visiting group is arriving the same day, we place the programme after lunch so flight and transfer times do not collide with it.
