Quick Take / Key Takeaway

A guide that turns a low engagement-survey item into an event format: 12 formats, and for each one which survey item, which team and which measurement.

A request for an employee engagement event reaches HR by one of two routes: management says "let's do something", or the engagement survey arrives and one item has dropped. The second route is better, because there is data for the format decision. This guide uses that data: which format for whichever survey item dropped — and for each format, which team profile it suits, how long it takes and what is measured afterwards.

It needs saying at the start: no event fixes an engagement drop caused by workload, unclear goals or a poor manager. Events affect the relationship items (team, manager, company); they do not affect the work items (load, resources, career). If the low item is in the second group, a process change is needed rather than an event, and telling management that is HR's job. For a regional HR function running engagement across a multinational's Turkish operation, the mapping below also helps explain to headquarters why a Turkish office may choose a different format from the group standard.

Survey item → format mapping

"I don't know the people in my team / cross-department communication is weak"

1. Rotating sports day. A station-based format pairs everyone with 8–10 different people in a day; mixed-department teams are mandatory. 30–300 people, half a day. Measurement: a post-event question, "how many people did you speak to for the first time today". 2. Inter-department tournament. Fixtures spread over weeks produce the repeated contact a single day cannot; bowling, table tennis or five-a-side. 3. Dinner plus activity with deliberately mixed teams. The fastest-acting format for newly merged teams; seating and team design force introductions.

"My manager doesn't listen to me / my relationship with my manager is weak"

4. Manager–team paired activity. Formats in which the manager is a team member, not the captain: canoeing (in pairs), climbing (belayer–climber), sailing (role allocation). Where hierarchy is suspended for an hour, the conversation changes. 8–30 people. 5. Team activity with a manager-coaching debrief. An external facilitator runs a 45-minute session after the activity; the manager is in the listening seat. Measurement: the same survey item three months later.

"The company doesn't care about me / I'm not recognised"

6. An event framed as a reward. After an intense period, explicitly "for this": a residential retreat, a sailing day or bowling plus dinner. The framing matters more than the event itself; the announcement is written accordingly. 7. Family day. The format that most strongly produces "the company cares about me" is the one that includes the family: a multi-station sports day, an olympics design in which children's points go to the parent's department. 100–1000 people, full day.

"I'm tired / my energy is low"

8. Weekly wellness programme. Not a day but 8–12 weeks: a rotation of pilates, yoga, spinning and breathing breaks, at the office and in working hours. Measurement: a start–end self-assessment (sleep, pain, energy). The best-targeted intervention in January–February and at year end. 9. Meeting-day movement break. The format that works even with no budget: 20 minutes of breathing and mobility in the meeting room. Small but repeatable.

"I can't see my future here / I'm not developing"

10. Skills workshop. This is the item least improved by an event; still, there is a format that produces the feeling "the company is investing in me": a workshop that teaches a new skill (archery, basic sailing, a discovery dive, dance). Measurement is indirect; used alongside career conversations. 11. Certificated programme. A 6–8 week rowing, sailing or running programme ending with a certificate of participation and an internal showcase or race. It produces habit and the feeling of "I completed it".

"I work remotely, I'm left out"

12. Location-independent programme. A team-based step challenge (four weeks, teams mixed by location) and a live online wellness session. The most common mistake in hybrid teams is "inviting" remote staff to an in-person event without covering travel; that group systematically cannot attend, and the survey drops further next period.

How to present it to management

An engagement-event budget is approved not on "morale" but on a triad: survey item → format → indicator. A one-page presentation contains: which item dropped and by how much, which format was chosen and why, how many people are targeted, and which three data points will be collected afterwards (attendance rate, short survey, the same item three months later). That structure turns the budget from a one-off spend into a measured intervention, and the continuation decision next year is made on the same presentation.

Measurement: what and when

  • On the day: attendance rate (invited / attended) — the most honest indicator.

  • One week later: a three-question survey: "would you attend again", "number of people you spoke to for the first time", "in one sentence".

  • Three months later: the targeted survey item measured again; no meaningful change is expected from a single event, it is expected from an ongoing programme.

Format choice also has to account for the team's fitness and age spread; which format suits which team profile is explained by goal on the employee motivation events page and by ongoing programme on the corporate wellness programme page.

Frequently Asked Questions

Does an engagement event actually change the survey result?
It affects the relationship items (team, manager, company); it does not affect the work items (load, resources, career). No meaningful change is expected from a single event; in an ongoing programme it shows in a re-measurement three months later. If the low item is in the work group, a process change is needed rather than an event.
Which format gets the highest attendance?
Formats that need no change of clothes or fitness and combine with dinner: bowling, table tennis, archery, a short dance lesson. Attendance rate is the most honest indicator; the first question in choosing a format should be "how many people will actually come".
What can be done with no budget?
A 20-minute movement break on a meeting day, an office table tennis championship, a team-based step challenge. All three cost almost nothing and are repeatable; in engagement, repetition works better than one large event.
How do we include remote staff?
A step challenge with location-mixed teams and a live online wellness session at the same time. Inviting them to an in-person event without covering travel systematically leaves this group out and lowers the survey next period.
